Rules for Use of Exhibitor Appointed Contractors
Exhibitors who plan to use an exhibit service company other than the official contractor must abide by the following regulations. These regulations apply to ALL contractors, including display installation and dismantling, audiovisual, floral, photography, security guards, and/or any contractor wishing access to the exhibit hall with the exception of transportation and shipping.
- Exhibitor Appointed Contractors/Independent Service Contractors will be limited to the installation, dismantle and preparation of “display” materials only. Labor and/or services for the installation and dismantling of “products” and or equipment to be displayed by exhibitors must be contracted from the Official Contractor designated by Exposition Management for that service. Exhibitors must use the Official Contractor for drayage and rigging, electrical, stagehand labor, plumbing, custom cleaning, equipment cleaning, janitorial, painting and assembly and dismantling of all equipment.
- Exhibitor appointed service companies must follow all move-in and move-out rules in a timely and professional manner, and must perform work within MINExpo established deadlines and work hours. Failure to comply may jeopardize the exhibiting company’s eligibility to exhibit in the future.
- The exhibitor must notify MINExpo Show Management by July 30, 2008, by letter or by use of the following form, of the name of the service company, the address and the telephone number. Once notification is received by MINExpo Show Management, an EAC Packet will be mailed to the exhibitor appointed service company to complete.
- Service companies must furnish a valid certificate of insurance to MINExpo Show Management for coverage as detailed in the EAC packet furnished to the service company, no later than August 18, 2008. The certificate must indicate full coverage for all installation and dismantling days and/or all days in which their employees will be in the Las Vegas Convention Center. If this certificate is not received by MINExpo Show Management by the deadline date the exhibitor must use the official contractor.
- Upon arrival at the Las Vegas Convention Center, exhibitor appointed contractors should check in at the EAC Desk to receive Work Passes for personnel to work on the exhibit floor. These work passes will be valid for move in and move out only. Should your EAC need access to your booth during show days, you must register them for an exhibit staff badge. As this may result in a badge charge fee if you exceed your allotment, please give careful consideration to whether or not you need your EAC on show days.
- Exhibitor appointed service companies may not solicit business on the exhibit floor at any time, nor
may they post signs advertising their services.
- Exhibitor appointed service companies must cooperate with the official contractor, especially by not interfering with the efficient use of the official contractor’s workers.
- NOTE: The official contractor will handle the use of power washers to clean equipment. The use of power sprayers or spray paint to touch up equipment and tires will only be allowed in designated areas in the marshaling and assembly areas. Exhibitors and their employees can hand wipe, buff or touch up paint (with brushes) for their own equipment and display pieces within the exhibitor’s assigned exhibit space. EACs ARE PROHIBITED FROM WIPING DOWN EQUIPMENT OR TIRES. ONLY EXHIBITOR PERSONNEL OR CLEANING LABOR HIRED THROUGH GES ARE ALLOWED TO PERFORM THESE FUNCTIONS.
